No matter how many emails you reply to, delete, or sort, it seems the inbox always fills back up. Even a brief break—like a vacation—can send your inbox into overdrive.

An overflowing inbox isn’t just frustrating—it’s a productivity killer. Constantly responding to emails takes precious time away from your actual priorities. So, is there a better way?

If you’re attempting to do this and find that you’re still getting a lot of follow-up, consider asking a trusted colleague or executive coach for feedback on your email communication style.

5. Periodically Change Your Address

If you find that most emails in your inbox are completely unnecessary or that they’re coming from external parties reaching out to you without good cause, consider periodically changing your email address for different purposes (personal, work projects, subscriptions). Not only can this reduce clutter and ensure that the only people reaching you are the ones who need to reach you, but it can also enhance email security.

6. Utilize Automated Features

Filters, auto-responses, and snooze features can help reduce inbox clutter. You can also use AI to help you write emails quickly, scan long email chains, and condense the information you need to immediately catch the gist of what’s required without scrolling through colleagues’ digital chitchat.

7. Unsubscribe from Unnecessary Emails

Similarly, utilize your inbox’s built-in spam filters and unsubscribe from non-essential communications. After doing so, you might realize that the vast majority of emails you receive are marketing materials from various retail brands.

Consider being more cautious about where and when you give out your email to these businesses, too. If you want to receive their correspondence, set up a separate, private, non-business email to receive marketing materials.
